School of Sexuality Education Privacy Notice

School of Sexuality Education (SSE) aims to improve people's physical health and emotional wellbeing, and give them the critical tools to develop or defend a more equitable society. We do this through comprehensive and inclusive sex and relationships education programmes for young people which confront taboos and social injustices, as well as training for staff and sessions for university students.

We collect feedback from our programmes to help us improve our work and understand the impact of our programmes.

This Privacy Notice explains what Personal Data we collect, why we collect it, how we use it, who we may share it with and how long we keep it.

We only use Personal Data where we have a lawful basis to do so.

What this Privacy Notice does and who it applies to

Wherever we say “you” or “your”, this means the person whose information we are processing. This may include a School of Sexuality Education workshop attendee, customer, teacher, student, contact at a commissioning organisation, or someone who visits our website.

When we say “we”, “us” or “our”, we mean School of Sexuality Education Ltd.

How we use the information collected 

Depending on how you interact with us, we may collect:

  • information you provide through our feedback forms;

  • information you provide when you interact with SSE face to face, by telephone or email;

  • your name and contact details, such as your telephone number and email address;

  • information about your school, organisation or role where relevant to our work;

  • information you voluntarily provide to us; and

  • on occasions, information obtained from publicly available sources.

Feedback forms are designed to be anonymous. We do not collect or retain information through the survey data that identifies individual respondents. Information such as the school and school year does not allow us to identify an individual respondent. If you voluntarily provide personal details in a feedback form, those details will be treated as Personal Data and handled in accordance with this Privacy Notice. 

How we use information collected through our feedback forms

We use feedback to:

  • understand how we can improve our programmes;

  • evaluate the effectiveness of our programmes;

  • measure and evidence the social impact of our work; and

  • report on the impact of our programmes to appropriate stakeholders.

Where we report our social impact publicly or to external organisations, we will use anonymised or aggregated information wherever appropriate.

Other purposes for which we may use your information

We may also use Personal Data where necessary to:

  • communicate with you and respond to enquiries;

  • identify you where necessary to provide or administer our services;

  • deliver services that you or your organisation have commissioned;

  • manage our relationships with customers, suppliers and other organisations;

  • comply with a legal obligation; and

  • establish, exercise or defend our legal rights where necessary.

We may also contact people about our work where we have a lawful basis to do so. You can ask us to stop receiving communications from us at any time.

Our lawful bases

We only process Personal Data where we have a lawful basis under applicable data protection law.

Depending on the circumstances, this may include:

  • performance of a contract, where we need to use information to provide a service or fulfil an agreement;

  • legal obligation, where we need to comply with the law;

  • legitimate interests, where processing is necessary for our legitimate interests or those of a third party, provided those interests are not overridden by your rights and interests; and

  • consent, where we have chosen to rely on your Consent.

The lawful basis we rely on will depend on the particular processing activity.

Sharing your information

We may share Personal Data where this is lawful, necessary and appropriate.

For example, we may share information with organisations involved in commissioning or delivering our work, service providers who process information on our behalf, or where we are legally required or permitted to do so.

We will only share the information that is necessary for the relevant purpose and will take appropriate steps to protect it.

Feedback and social impact reporting

When sharing information collected through our feedback forms for social impact reporting, we will use anonymised or aggregated information wherever possible.

For example, we may report information about:

  • the school or organisation involved;

  • school year or age group; and

  • overall feedback or programme outcomes.

We will not normally publish or share individuals' names or other information that directly identifies them as part of our social impact reporting.

We may communicate our social impact through our website, flyers, grant applications, annual reports and other appropriate communications.

Sharing information with commissioning bodies

SSE is sometimes commissioned by other organisations to carry out work. This may include Anglia Ruskin University, the University of Leicester and UCL Institute of Education.

Where we collect Personal Data as part of commissioned work, the roles and responsibilities of SSE and the commissioning organisation will depend on the nature of the work and the arrangements in place. We will only share Personal Data with a commissioning organisation where this is necessary, lawful and permitted under those arrangements.

Where information is shared for programme evaluation or social impact reporting, we will use anonymised or aggregated information wherever possible.

The specific arrangements for a commissioned programme may be explained in additional privacy information provided to participants.

How long we keep information

We keep Personal Data only for as long as it is necessary for the purpose for which it was collected, or where we have another lawful reason to retain it.

Our retention periods are set out in, or determined in accordance with, our Records Management & Retention Policy.

Feedback information

We may retain feedback information for three years to monitor and evidence the impact of our programmes and to help confirm the authenticity and integrity of survey responses.

Feedback forms are designed to be anonymous. We do not collect or retain information through the survey data that identifies individual respondents. Information such as the school and school year does not allow us to identify an individual respondent.

If you voluntarily provide personal details in a feedback form, those details will be treated as Personal Data and retained in accordance with our Records Management & Retention Policy.

We may destroy, delete or anonymise information sooner where it is no longer required.

Your rights

Depending on the circumstances, you have rights in relation to your Personal Data, including:

  • the right to be informed about how we use your information;

  • the right to request access to the Personal Data we hold about you;

  • the right to request correction of inaccurate or incomplete information;

  • the right to request erasure of your information in certain circumstances;

  • the right to request restriction of processing in certain circumstances;

  • the right to object to certain processing; and

  • where we rely on Consent, the right to withdraw that Consent.

These rights are subject to certain conditions and exemptions. This means that there may be circumstances where we are entitled or required to continue processing or retaining information.

We will respond to requests in accordance with applicable data protection law.

How we keep information secure

We take appropriate technical and organisational measures to protect Personal Data against unauthorised access, loss, misuse, alteration or disclosure.

These measures may include:

  • staff confidentiality and data protection requirements; and

  • appropriate contractual requirements for third parties that process information on our behalf.

We may update this Privacy Notice from time to time to reflect changes in our work, how we use Personal Data or changes in data protection requirements.
